About Us:
Heron Academy is committed to providing a supportive and inclusive environment for both staff and students. We are looking for a dedicated Administrative Officer / Receptionist to join our team and contribute to the smooth running of our school.

Main Duties and Responsibilities:

  • Communicate with parents/carers via telephone and email.
  • Retrieve answerphone messages and pass them to relevant staff.
  • Create and maintain daily registration sheets for fire drills.
  • Confirm daily attendance and create reports for the kitchen.
  • Admit staff, pupils, and visitors into the building in accordance with Health and Safety and Safeguarding policies.
  • Organise and send out letters for pupil meetings.
  • Produce documentation and minutes for pupil and staff meetings.
  • Provide administrative support to the Senior Leadership Team (SLT), including updating the school diary daily.
  • Monitor the school’s admin email account and pass messages to relevant staff promptly.
  • Collect and sign for deliveries.
  • Prepare pupil packs for Academic Review Day.
  • Create new pupil admission packs with information from the local authority.
  • Arrange new pupil interviews and monitor non-attendance.
  • Upload new pupil information onto Arbor, including permanent exclusion letters.
  • Establish an effective organisation system for pupil files.
  • Forward pupil files to relevant onward provision.
  • Archive pupil files appropriately.
  • Organise collection and disposal of white waste.
  • Be the first point of contact for visitors and external professionals, ensuring a professional welcome.
  • Maintain professional boundaries and uphold the values and ethos of the Federation.

Person Specification:

  • Excellent interpersonal skills, both telephone and face-to-face.
  • Experience in an administrative role within a school setting.
  • Knowledge and experience of Arbor, with a willingness to undertake additional training.
  • Confidence in using ICT to support the role.
  • Perseverance in making contact with hard-to-engage parents/carers.
  • Good organisational skills and ability to meet deadlines.
  • Proactive approach to teamwork.
  • Understanding of confidentiality and safeguarding procedures.
  • Ability to communicate confidently and accurately, tailoring vocabulary to suit the situation.
  • Ability to respond appropriately in complex situations.

Qualifications:

  • Good level of education to Level 2 or equivalent (including English & maths).

Skills and Competencies:

  • Highly developed oral and written communication skills.
  • Proven ability to develop, implement, and update systems.
  • Ability to work as part of a team and promote teamwork.
  • Professional approach to resolving problems and workplace conflict.
  • Supportive of the Headteacher, Head of School, and SLT.
