About the role:

 

Post:  Administrative Officer / Receptionist (Maternity Cover)

Responsible to: Head Teacher

Line Manager: Office Manager                              

Actual Hours: Part time job share: 3 days, Wednesday to Friday. 21.6 hours per week 08:00 to 16:00 (Endeavour Academy), 39 weeks - Term Time Only (Maternity Cover)

Main duties and responsibilities

  • Receive attendance calls from parents / carers
  • Retrieve answerphone messages
  • Support the attendance team to make absence calls to parent/carer by telephone before 10am for any students who have not yet arrived and we have not received notification for absence.
  • Keep accurate and timely records using Arbor for both AM and PM register, in addition to any other contacts received and made in relation to Attendance.
  • Positively challenge reasons for absence when required, to reiterate our high expectations and importance of attendance and punctuality.

  • Foster and maintain lines of communication with parents/carers and external agencies in relation to attendance.

  • Continually update key staff throughout the day regarding absence reasons, concerns and any students that you have not made contact with.
  • Make follow up telephone calls throughout the day when contact has not been made either by telephone and record on Arbor.
  • To prepare and send Attendance Letters at the request and agreed by the LATE Officer.
  • To diarise internal Attendance Meetings and Fast Track Meetings, producing and sending relevant invitations to parents/carers, staff and external agencies.
  • Create and maintain a process to produce daily registration sheets in preparation for a Fire Drill.
  • Run attendance reports, registration sheets and data reports in relation to Attendance from Arbor when requested.
  • Organise and send out letters for student meetings.
  • Produce documentation and minutes in relation to student and staff meetings.
  • Provide administrative support to SLT as required including updating the school diary electronically on a daily basis.
  • Undertake all other administrative duties as directed by the Office Manager.
  • Produce reports from Arbor as required by SLT and in line with any regular, planned monitoring schedule.
  • Contribute to all promotional materials and the termly newsletter.
  • Be the first point of contact for visitors and external professionals and ensure they receive a professional welcome.
  • Maintaining professional boundaries at all times and observing / upholding the values and ethos of LSEAT whilst contributing to the overall vision of the school.

Person Specification

  • Excellent interpersonal skills including telephone and face to face manner.
  • Experience of working in an administrative role within a school setting.
  • Knowledge and experience of Arbor and/or willingness to undertake additional training as required.
  • Experience and confidence in using ICT to support the role.
  • Perseverance in making contact with hard to engage parents / carers.
  • Good organisational skills and ability to work to deadlines.
  • Proactive approach to teamwork.
  • Evidence of understanding of the business needs of the schools.
  • Sound understanding of confidentiality and safeguarding procedures.
